A recruiting system that starts with a target market.

The team picks a geography. The system finds and checks prospects, then prepares emails and a landing page for review.

Growth created a recruiting problem.

Newfound needed sales people in new markets without steep recruiting costs. Each geography meant another round of contact discovery, fit checks, messages and campaign setup, all to get candidates onto its recruitment manager’s calendar.

HubSpot held contacts and email; WordPress held the core message. Prospects were still found by hand and tracked in a spreadsheet. We mapped those steps and built a process the team could start by entering a target geography.

Start with the hardest part: finding the right people.

Contact discovery took the most work. Apify sourced a target of 300–500 prospects for each geography. Fixed filters checked location, recent activity, production range and usable contact details.

We checked HubSpot and prior campaigns for duplicates, then verified email addresses with Bouncer. After those checks, the list was ready for campaign preparation.

Recruiting, engineered.

One market brief shaped the whole campaign.

The workflow imported the verified audience into HubSpot, localized the A/B email sequence, proposed a fresh B hypothesis and prepared a matching WordPress landing page.

The recruiting team could review the audience, emails, page and test idea together before launch.

The team kept the decisions that mattered.

The team chose the geography, reviewed the A/B test, checked the assets and ran interviews. The system handled sourcing and campaign setup around those decisions.

Outreach waited for approval. The team could spend less time assembling campaigns and more time talking with interested candidates.

The handoff.

We built the first version in Codex. At review, the client wanted to run it through GrokBot, the agent they already used for ongoing work. We packaged the process in a GitHub repo so GrokBot could implement it end to end.

The client could start a run by talking to its Chief of Staff bot, which handed the work to the Recruiter bot.

Client feedback on the handoff
“...GrokBot followed the process, created all the assets, and launched. It’s UNREAL.”

Each run informed the next.

Booked meetings and operational feedback inform the next run. The workflow proposes changes; the team reviews them before applying them. Each new geography also gets a fresh B hypothesis to test.
